Key takeaways

Reading time: 7 minutes. Clear, dated inspection reports protect dealer margin at every hand-off.

  • Most losses come from thin condition reports at trade-in, in the workshop, at handover and at lease return.
  • EU sale of goods rules make dated handover evidence important for at least the first year after a sale.
  • Inspect AI turns photos and voice notes into a draft report that your team reviews and approves.
  • It runs on a phone or tablet, so it works wherever a car is inspected.
  • Walk and talk lets inspectors speak their findings instead of typing them.

A used car gets inspected more often than most people realise. It is checked when it is traded in, again when it goes into the workshop, again before it is handed over, and often once more when it comes back at the end of a lease. As a result, every one of those checks creates a record. And every weak record is an argument waiting to happen. An AI vehicle inspection fixes that by turning photos and voice notes into a clear, dated condition report before the car moves on.

In fact, the problem is rarely the inspection itself. Appraisers and technicians know what they are looking at. The problem is what happens afterwards: photos sitting on a phone, notes on a clipboard, and a condition report written at the end of a long day from memory.

This guide covers where weak reports cost car dealers money, why handover evidence matters in Europe, and which vehicle inspections to digitise first, whether you run a dealership, a lease company, a rental fleet or a workshop.

Where the money quietly leaks

Most of the cost in vehicle inspections is not the time spent walking around the car. It is what a thin report lets slip through at each hand-off.

  • Trade-in appraisal. A missed dent, a worn set of tyres or a warning light nobody wrote down does not disappear. Instead, it turns up later as reconditioning cost that should have been in the price.
  • Reconditioning. If the intake report is vague, the workshop finds the work late and the car waits. US floorplan lender AFC uses an illustrative figure of $32 to $40 for every day a car sits unsold, so a few lost days add up fast.
  • Handover. “That scratch was not there when I bought it.” Without dated photos of the car at delivery, it is your word against the customer’s.
  • Lease, rental and fleet returns. Return charges only stick when the evidence is clear. UK leasing body BVRLA expects both sides to agree the vehicle’s condition at collection, and any charges to be sent within four weeks with photographic evidence.

Why handover evidence matters even more in Europe

Under the EU Sale of Goods Directive (2019/771), a consumer can claim for a fault that was present when the car was delivered. For at least the first year after delivery, a fault that appears is presumed to have been there from the start, unless the seller can show otherwise. Some countries extend that to two years.

However, for used goods, the seller and buyer can agree a shorter liability period, but not less than one year. In practice, that means a clear, dated, photographed handover inspection is one of the best pieces of evidence a dealer can have.

This is general information, not legal advice. The exact rules depend on how each country has applied the directive.

What an AI vehicle inspection looks like in practice

The inspector walks around the vehicle with a phone or tablet, takes photos of each area and speaks their findings out loud. Inspect AI then does the slow part:

  • First, it analyses the photos and turns them into structured condition notes for each area of the car.
  • Next, voice notes become clear, written findings, so nobody has to type on a forecourt in the rain.
  • It also fills in the report sections from the inspection data, so exterior, interior, tyres, glass and electronics are covered the same way every time.
  • Finally, it writes a short summary for the customer, the sales manager or the lease company.

People stay in control

Every AI draft is reviewed, edited and approved by a person before it is saved. Inspect it keeps a full audit trail of what the AI generated and what your team changed. This matters especially in the automotive trade, where the difference between a stone chip and a crack, or between fair wear and tear and damage, is a judgement call. In other words, AI gives the inspector a strong first draft. The inspector makes the decision.

Walk and talk vehicle inspections

Walk and talk is the quickest way to run an AI vehicle inspection in Inspect it. Instead of stopping to type at every panel, the inspector walks around the car, takes photos and simply says what they see: โ€œRear bumper, light scuff on the nearside corner. Tyres look fine all round.โ€

Inspect AI turns those voice notes into written findings and places each one in the right part of the condition report, next to the matching photo. As a result, the inspector keeps their eyes on the car, and nothing gets lost between the forecourt and the office.

  • Faster at the car. No typing on a small screen, in the rain or with gloves on.
  • More detail captured. People say far more than they write, so reports come out fuller and clearer.
  • The same report every time. Spoken notes land in the same template sections, whoever does the inspection.
  • Still checked by a person. The inspector reviews and approves the draft before anything is saved.

It works just as well on a trade-in appraisal as on an end-of-lease return. We use the same approach for boats too, which you can read about in our post on voice-based AI inspections.

A phone in your hand, not a drive-through scanner

Camera tunnels and drive-through scanners are impressive, and they make sense at high-volume auction sites and large logistics yards. However, most dealers, workshops and fleet teams inspect cars in many different places: on the forecourt, in the workshop, at a customer’s home or in a lease return car park.

An AI vehicle inspection in Inspect it runs on the phones and tablets your team already carries, and it works offline. There is no fixed hardware to install, and the same app covers appraisals, workshop checks, handovers and returns.

Five vehicle inspections worth digitising first

  1. Trade-in and purchase appraisal. Capture condition before you agree a price.
  2. Workshop intake and reconditioning sign-off. Know what needs doing on day one, and prove it was done.
  3. Pre-delivery inspection (PDI). Confirm the car is ready, with photos to show it.
  4. Customer handover. A dated record both sides can see, which protects you if a claim comes later.
  5. Lease, rental and fleet returns. Clear evidence for return charges, with fewer back-and-forth emails.

What AI vehicle inspection changes for your team

  • Reports finished at the car. AI drafts the report from photos and voice notes on site, so nobody writes it up at the end of the day.
  • The same standard from every inspector. Templates and AI-filled sections mean a junior appraiser’s report looks as complete as a senior one’s.
  • A full history for every vehicle. Every inspection of the same car sits in one place, from first appraisal to final return.
  • Faster answers when there is a dispute. Instead of searching phones and folders, you open the report and show the dated photos.

It is not just theory. Here is how one Inspect it customer, a property services firm in the UK, describes the change:

โ€œAfter moving to Inspect it, our team completes inspections on site, adds photos and notes, and sends a professional report before leaving the building. We cut reporting time by around 60 percent in the first two months.โ€

AI vehicle inspection: frequently asked questions

No tool should promise that. Good photos and an experienced eye still matter. Inspect AI describes what is in the photos and drafts the report, and your inspector checks and confirms it.

No. Inspect it works on a standard phone or tablet, including offline.

Yes. You can set up a separate template for each inspection type, from appraisals and PDIs to end-of-lease and rental returns.

Your team is. Nothing is saved until a person has reviewed and approved it, and the audit trail shows exactly what was changed.

It is an inspection where the inspector speaks their findings while photographing the car. Inspect AI turns the voice notes into a written condition report, which the inspector then reviews and approves.

Capture the evidence once. Use it at every stage.

After all, every car that passes through your business is inspected several times. Run each of those checks as an AI vehicle inspection, with a clear, consistent report and photos, and you price better, recondition faster and win more disputes before they start.
