User manual
Inspect it User Manual
Set up your account, build checklists, run inspections, share reports and track follow-up actions. Draft v0.2.
About this manual
This manual shows how to set up and run inspections in Inspect it, the inspection platform for buildings, assets, equipment and vehicles at inspectit.eu. Teams use it to replace paper forms and spreadsheets with guided checklists, photo evidence, signed reports and tracked follow-up actions.
It is written for inspectors, team admins and the Inspect it onboarding team. Work through it in order: set up the account, build checklists, run an inspection, then share the report and close the actions. Each step will carry a screenshot of exactly what you should see once it has been tested.
ℹ What you get once you are set up Guided checklists with mandatory fields and severity levels, so every inspection is consistent. Photos, annotations, notes and optional video as evidence, even offline. Digital signing and tamper-proof records. Branded PDF reports or a secure share link. Findings turned into assigned actions that are tracked until closed.
Draft status
This is a desk-research draft built from the public pages on inspectit.eu. Nothing has been tested in the app yet, so button names and screens are marked to be confirmed. Every part carries a status tag:
| Tag | Meaning |
|---|---|
| From website | Stated on inspectit.eu, not yet tested in the app |
| To test | Needs a hands-on walkthrough (steps, buttons, screens) |
| Verified | Tested end to end in the app, steps confirmed |
| Issue | A bug, gap or inconsistency found during testing |
Branding (CVI colours, logo, typography) is not applied yet.
How Inspect it fits together
Inspect it keeps everything about an inspection connected: photos, videos, notes, defects, tasks and reports stay linked to the inspection where they were created. This table shows how everyday inspection work maps to Inspect it. Screen names are to be confirmed in testing.
| What you do today | Becomes in Inspect it |
|---|---|
| Inspect a building, asset, piece of equipment or vehicle | An inspected item with its own history, schedules and condition |
| Paper form or spreadsheet checklist | A template: one of 300+ ready-made, or your own |
| A site visit | An inspection with guided steps, evidence and a signature |
| A problem you spot | A finding with severity, urgency and an owner |
| A follow-up job | An action, task or work order tracked to closure |
| The written report | A branded PDF report or a secure share link |
| Colleagues and clients | Users with roles (owner, admin, member, viewer, client) |
Before you start: checklist
| You need | Detail |
|---|---|
| An Inspect it account | Start the 14-day free trial at app.inspectit.eu/auth/sign-in. No credit card is needed. After the trial, choose Silver or Gold. |
| A device | The dashboard runs in a web browser on a computer, tablet or smartphone. The features page also lists iOS and Android apps; confirm this before relying on it. |
| The right plan | AI voice reporting, custom branded reports, multi-site management and API access are Gold features. See Appendix B. |
| A list of what you inspect | Your buildings, assets, equipment and vehicles, so they can be added before the first inspection. |
| Your existing checklists | Paper or spreadsheet forms. The site says AI Template Studio can turn a prompt, photo, PDF or spreadsheet into a template. |
| Your team and roles | Who will run inspections, who will manage, and which clients only need to view their reports. Clients who only view their own reports do not count as users. |
| Brand assets (optional) | Logo, colours and fonts for branded reports. |
! Check what your plan includes The website does not say which plan includes most of the 72 features, so some features in this manual may not appear in your account. See the feature log in Appendix A.
Part 1: Set up your account
Status: To test
These steps happen in the Inspect it app at app.inspectit.eu. You only do them once per organisation.
Step 1 Start your trial or sign in
Open app.inspectit.eu/auth/sign-in and create your account to start the 14-day free trial, or sign in if you already have one. The features page lists two-factor authentication, magic links, email codes and Google sign-in as supported sign-in methods. Which of these appear on the sign-in screen is to be confirmed.
Figure 1: The sign-in screen. [Screenshot to add after testing]
Step 2 Select your account
After signing in you reach the account selection screen at app.inspectit.eu/select-account. Choose the account you want to work in. The site says you can switch between accounts in one tap later. Whether users with a single account see this screen is to be confirmed.
Figure 2: The account selection screen. [Screenshot to add after testing]
Step 3 Add your team and set roles
Invite your users and give each a role: owner, admin, member, viewer or client. The site also mentions custom roles. Silver includes 3 users and Gold 5. Clients who only view their own reports are free.
Figure 3: The users and roles screen. [Screenshot to add after testing]
Step 4 Add what you inspect
Add your buildings, assets, equipment and vehicles. Plans include unlimited buildings, assets and equipment. Where this lives in the menu, and which details can be stored for each, is to be confirmed.
Figure 4: Adding a building or asset. [Screenshot to add after testing]
› Tidy up the names Give each building and asset a clear name, such as "Head Office, Level 2", so inspectors can find the right one on site.
Part 2: Build your checklists
Status: From website, To test
Templates are what inspectors follow on site, so build them before the first inspection.
Step 1 Open templates
Find the templates area in the app. Where it sits in the menu is to be confirmed.
Figure 5: The templates list. [Screenshot to add after testing]
Step 2 Start from a ready-made template or build your own
Choose one of the 300+ ready-made templates (including 150 construction checklists, in English, Russian and Estonian), or build your own with the drag-and-drop builder. You can also import and clone templates, or let AI Template Studio turn a paper checklist into a template.
Figure 6: Choosing or creating a template. [Screenshot to add after testing]
Step 3 Add fields, rules and scoring
The builder offers 19 field types, from pass/fail and ratings to photos, signatures, sliders and traffic lights. Mark important fields as mandatory, set severity levels, and add conditional questions, weighted scoring and validation rules.
Figure 7: Editing a template with a mandatory field and severity levels. [Screenshot to add after testing]
Step 4 Save and use the template
Save the template so it can be picked when starting an inspection. Editing, copying and archiving a template, and sharing it through the template marketplace with versioning, are to be confirmed.
ℹ Quick Check The site says anyone can run a free self-inspection from a public template and download the report. Useful for trying the flow before building your own.
Part 3: Run an inspection
Status: From website, To test
These steps are done on site, on a phone, tablet or the web app. Inspections can be run offline and sync automatically when the connection returns.
Step 1 Start the inspection
Choose a template, then select the building, asset, piece of equipment or vehicle you are inspecting. The site mentions one-tap GPS and a map picker on location fields.
Figure 8: Starting a new inspection. [Screenshot to add after testing]
Step 2 Work through the guided steps
Answer each item. Auto-save and live scoring run as you go, and conditional questions appear when needed. Mandatory fields must be completed. "Mark all OK or N/A" clears a whole section in one tap with a reason, and a pre-submit check runs before you finish.
Figure 9: A checklist in progress. [Screenshot to add after testing]
Step 3 Capture evidence
Add photos, which can be annotated with circles, shapes and text and keep their time and GPS stamp. Add notes, voice notes and optional video. Walk & Snap captures photos hands-free zone by zone. Evidence stays linked to the inspection and to the finding it supports.
Figure 10: Adding and annotating a photo. [Screenshot to add after testing]
Step 4 Record findings
For each problem, record the finding with its severity and urgency, and assign an owner. Cost estimate and due date can also be tracked.
Figure 11: Recording a finding with severity. [Screenshot to add after testing]
Step 5 Review and sign
Review and comment on missing details before sign-off, then collect the inspector and client signatures on the device. Signed records are tamper-proof, and signed inspections are protected from deletion.
Figure 12: The signing screen. [Screenshot to add after testing]
! AI-filled inspections If AI filled in an inspection (for example with Voice Assist), every field must be verified by the inspector before it can be signed. AI output is always labelled as AI-generated.
Part 4: Report and follow up
Status: From website, To test
The site says reports are generated the moment an inspection is signed.
Step 1 Open the report
Open the signed inspection and view its report. You can choose what to show: summary, analysis, recommendations, photos and findings. An AI report narrative (executive summary, overall condition and recommendations) is available for you to review and approve.
Figure 13: A generated report. [Screenshot to add after testing]
Step 2 Share the report
Share it as a branded PDF with your logo, colours and fonts, or as a secure live link with view tracking, a photo toggle and an expiry date. Reports can also be emailed automatically to clients, users or roles on a schedule. Email sharing and data export are on every plan; fully custom branding is a Gold feature.
Figure 14: Sharing a report. [Screenshot to add after testing]
Step 3 Turn findings into actions
Create tasks or work orders straight from the findings. Assign an owner, set a deadline and add attachments. Tasks can be viewed as a kanban board, a calendar or a Gantt timeline.
Figure 15: Creating and assigning a task from a finding. [Screenshot to add after testing]
Step 4 Track to closure
Follow each action until it is closed. Team chat, notifications and reminders keep everyone aligned, and the account audit log records who changed what. How notifications and chat appear in the app is to be confirmed.
Figure 16: The task board. [Screenshot to add after testing]
Part 5: Verify it works
The building or asset you added appears in the app and can be chosen when starting an inspection.
A completed inspection can be signed, and its report opens as a PDF and as a share link.
A finding turns into a task that appears on the assigned person's board, and a notification reaches them.
The account audit log shows who signed the inspection and who created the task.
An inspection run offline syncs once the connection returns.
✓ Done Your team can now inspect on site, capture signed evidence, send reports before leaving the building and track every follow-up action from one place.
Troubleshooting
Status: From website. Rows come from statements on inspectit.eu and will be replaced and extended with real errors found in testing.
| Symptom | Likely cause | Fix |
|---|---|---|
| An AI-filled inspection cannot be signed | Some fields are not yet verified | Verify every AI-filled field; the site says signing is blocked until all are verified. |
| A deleted inspection is missing | It was deleted | Look in Recently Deleted, where inspections stay for 30 days. Signed inspections are protected. |
| Offline changes do not show on another device | Not yet synced | Reconnect to the internet; photos, voice notes and changes sync automatically. |
| Cannot open the dashboard on site | The browser dashboard needs an internet connection | Connect first, or run the inspection offline and sync later. |
| A photo or video is rejected | File over the plan's limit | Images up to 10 MB (25 MB on Gold) and videos up to 25 MB (50 MB on Gold); 50 files per inspection (200 on Gold). |
